Duties and Responsibilities
Description of Office Standard The Administration and Conference Management Division (ACMD) provides administrative, conference management, financial and related support services to clients in Addis Ababa. Within ACMD, the Finance and Budget Section (FBS) supports financial management, budgetary oversight and related service delivery through its functional units, including the Account Unit (AU), Trust Fund Unit (TFU), Payroll and Disbursement Unit (PDU), Treasury Unit (TU), and Budget Unit (BU). These units provide support in accounting, trust fund management, payroll and payments, treasury operations, budget planning, monitoring and reporting. Reporting line for Intern This internship is located in the Finance and Budget Section (FBS), Administration and Conference Management Division (ACMD), in Addis Ababa, Ethiopia. The Intern will support FBS services automation, including survey automation, and will report to the designated supervisor or focal point within FBS. Specific project or work area the intern will contribute to. The intern will have the opportunity to contribute to and learn from ongoing FBS service automation initiatives, including survey automation and related digital tools. Through supervised assignments, the intern will gain exposure to service improvement, data collection, process documentation and reporting activities across FBS units Specific tasks the intern will fulfil: The intern will support the team in the development and improvement of automated tools, surveys, trackers and related workflows for FBS services. Tasks will include: • Assisting with the design, testing and updating of automated surveys and forms for FBS service needs; • Supporting the collection, organization and analysis of survey responses and service data; • Helping develop or improve trackers, dashboards, templates and other tools used by FBS units; • Supporting process mapping and documentation of workflows across AU, TFU, PDU, TU and BU; • Assisting with the preparation of reports, summaries, presentations and briefing materials based on collected data; • Supporting the review of existing manual processes and identifying areas where automation may improve efficiency; • Helping maintain records and organize information related to finance, budget and service delivery activities; • Supporting coordination and follow-up with FBS units on service automation requirements; • Assisting with testing, quality checks and user feedback collection for automated tools; • Assisting and contributing to other related duties in support of FBS service automation and survey automation, as assigned.
Qualifications/special skills
Applicants must meet one of the following requirements: (a) Applicants to the UN Internship Programme are not required to have professional work experience. However, a field of study that is closely related to the type of internship that you are applying for is required. (b) Applicants must be a student in the final year of the first university degree (bachelor or equivalent), Master’s or Ph.D. Programme or equivalent, or have completed a Bachelor’s, Master’s or PH.D. Programme. Do you meet any of the above criteria? If yes, please indicate which one and attach proof to the application. Please note that you will have to provide an official certificate at a later stage. (c) Applicants should be pursuing or have completed studies in administration, business administration, finance, accounting, information systems, data management, public administration, or another related field relevant to administrative and finance support services. Please indicate your field of study and how it relates to this internship. (d) Applicants should demonstrate an interest in digital tools, automation or process improvement through academic coursework, university projects, personal learning or other experiences. Please describe any exposure you have had to these areas. (e) Demonstrated interest or exposure to digital tools such as Microsoft Excel, Microsoft Forms, SharePoint, Power Automate, Power BI, dashboards, trackers or similar tools is desirable. Languages
English and French are the working languages of the United Nations Secretariat. Fluency in English is required for this internship. Knowledge of an additional official UN language is an advantage.
