The Transformation Office plays a central role in elevating how ITS delivers value by evolving the IT operating model toward greater clarity of ownership, improved value flow, stronger governance, and measurable performance management. This work requires coordinated progress across nine interdependent operating model components: Performance, Organizational Structure, Ways of Working, Tools/Assets, Places, Talent, Sourcing Alliances, Decision Rights, AI, Data and Financials. This role drives staff understanding and engagement with ITS transformation through data-informed, AIenabled communications and knowledge management, strengthening workforce readiness and supporting operating model maturity over time. Roles and Responsibilities: A. Digital Platform and Knowledge Management • Maintain and continuously update the ITS Transformation Hub and associated platforms, using analytics, search data, and user feedback to improve structure, navigation, accessibility, and usability. • Ensure all transformation resources are accurate, accessible, and user-friendly. • Support content governance, archiving, metadata tagging, and version control to keep content discoverable and ready for AI-powered search and retrieval. • Explore and support AI-enabled knowledge tools (e.g., intelligent search, Power Apps, Copilot or chatbot assistants on the Hub) that help staff find transformation information quickly. B. Content Development and Visual Design • Develop clear, engaging, and visually appealing communication materials (slides, infographics, videos, digital campaigns, newsletters, etc.) in close collaboration with Transformation workstream leads and internal teams. • Translate complex transformation concepts, including AI and digital initiatives, into compelling narratives and visuals that build staff understanding and confidence. • Use generative AI tools responsibly to accelerate drafting, summarization, translation, image generation, and content adaptation for different audiences, with human review for accuracy, tone, and quality. • Ensure all outputs align with ITS brand and tone guidelines. C. Data, Analytics, and Evidence-Based Decision-Making • Track key performance indicators (KPIs) for transformation communications, such as reach, engagement, content usage, sentiment, and staff awareness. • Monitor engagement and usage data from digital channels (e.g., Hub analytics, SharePoint, Viva Engage/Yammer, email campaigns, event participation). • Use dashboards (e.g., Power BI) that give leadership and workstream leads clear, timely visibility of communication performance. • Analyze trends, including AI-assisted analysis of feedback and sentiment, and provide quarterly reports with actionable recommendations. • Use data to guide decisions on content priorities, channel selection, timing, and format, including testing and comparing approaches (e.g., A/B testing of headlines or formats) to identify what works best. D. Innovation and Modernization • Introduce creative, interactive communication methods (digital storytelling, short videos, motion graphics, podcasts, AI-assisted content formats). • Support visual facilitation for design sprints and transformation events. • Benchmark ITS transformation communications against other organizations and identify best practices, including emerging uses of AI in internal communications. Deliverables • Up-to-date and well-maintained ITS Transformation Hub and knowledge repositories. • Regular publication of visually engaging and high-quality communication materials. • A communications KPI framework and live performance dashboard. • Quarterly analytics reports on staff engagement, reach, sentiment, and content performance, with data-driven recommendations. • Timely delivery of ad hoc or rapid-response communication materials to support emerging transformation priorities.
