Background Information
Working under the overall direction of the Chief of Mission and the direct supervision of the Senior Human Resources Associate, the intern will assist the Human Resources in line with the learning objectives.
Responsibilities
Develop practical knowledge of HR personnel records management by gaining an understanding of IOM requirements for maintaining complete, accurate and up-to-date personnel files, including identifying documentation gaps and maintaining appropriate tracking mechanisms.
Gain experience in electronic records management by learning how to scan, index, classify and upload HR documentation in accordance with IOM filing and records management standards.
Develop an understanding of confidentiality and data protection in an HR environment and demonstrate the ability to handle personnel records and sensitive personal information responsibly and in accordance with applicable IOM principles and procedures.
Gain practical exposure to core HR administrative processes, including onboarding, contract extensions, separation documentation and absence administration, and understand how these processes contribute to the employee lifecycle.
Strengthen professional communication skills through correspondence and follow-up with staff members regarding required HR documentation, while maintaining a professional, clear and service-oriented approach.
Develop organizational and monitoring skills by maintaining accurate tracking records, following up on outstanding actions and providing regular status updates to the HR team.
Gain a broader understanding of IOM HR policies, procedures and workflows through participation in HR team meetings and exposure to the day-to-day functioning of an HR unit within IOM.
Develop professional workplace competencies, including attention to detail, accuracy, time management, prioritization, accountability and the ability to work effectively as part of an HR team.
- Acquired practical knowledge of HR personnel records management and IOM requirements for complete, accurate and up-to-date staff files.
- Gained hands-on experience in electronic records management, including scanning, indexing, classifying and uploading HR documents in line with IOM standards.
- Developed a sound understanding of confidentiality and data protection when handling personnel records and sensitive personal information.
- Gained exposure to core HR administrative processes across the employee lifecycle, including onboarding, contract extensions, separations and absence administration.
- Strengthened communication and organizational skills through follow-up with staff members, tracking outstanding actions and regular status updates to the HR team.
- Gained a broader understanding of IOM HR policies and workflows and built confidence working in an international and multicultural environment.
Qualifications
Required Qualifications and Experience
Education
- Degree in Human Resources, Business Administration, Psychology or related field
- Applicants for IOM internships must, at the time of application, meet one of the following requirements:
Be enrolled in the final academic year of a first university degree programme (minimum bachelor’s level or equivalent); or
Be enrolled in a graduate school programme (second university degree or equivalent, or higher); or
Have graduated with a university (as defined in (1) or (2) above) and, if selected, must commence the internship within one year of graduation.
Experience
- Experience with records management or HR administration is an asset.
- Previous experience with Oracle (or another HR information system) is a distinct advantage;
Skills
- Ability to handle confidential and sensitive information with discretion;
- Good computer skills, including Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and familiarity with electronic filing or document management systems;
- Discreet, detail-oriented and client-focused, with patience and a willingness to learn.
Languages
For this internship, Fluency in English is required.
Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.

Notes
Depending on experience and location, interns are granted a small monthly stipend to help offset costs. Interns benefiting from an internship allowance or scholarship granted by their university or other sponsoring body that includes financial remuneration or credits for coursework will not be eligible for the stipend.
IOM covers Interns against occupational accidents and illnesses under the Compensation Plan (CP), free of charge, for the duration of the internship. IOM does not provide evacuation or medical insurance for reasons related to non-occupational accidents and illnesses. Interns are responsible for their own medical insurance for non-occupational accident or illness and will be required to provide written proof of such coverage before commencing work.
