Assignment context

FAO’s Regional Office for Europe and Central Asia – located in Budapest, Hungary – provides and coordinates FAO policy and technical assistance to Members in the region. The Regional Office is also responsible for preparing the biennial FAO Regional Conference for Europe, where Member Countries establish priorities for FAO’s work in the region.
The Administration team of the Regional Office for Europe and Central Asia (REUX) provides comprehensive support in human resources, general administration, finance, procurement, and travel services to ensure the smooth functioning of the Regional Office in Budapest (REU). In addition, REUX oversees these service areas across the region, offering guidance, support, and advisory services to several country offices.
Task description
The incumbent is responsible for coordinating and executing administrative tasks related to the hiring of international and national affiliate workforce, as well as processing of official duty travels in the Global Resource Management System (GRMS), in accordance with FAO rules and regulations. Under the supervision of the Human Resources Assistant and in close collaboration with the regional Administration team, the incumbent performs the following functions:
1. Develop and/or review Terms of Reference of affiliate workforce and ensure compliance with current standards and regulations.
2. Coordinate and manage the publication of calls to attract candidates for vacancies related to national and international affiliate workforce, ensuring proper dissemination to attract qualified talent.
3. Organize and facilitate the selection process, including coordinating interviews with the selection panel and preparing reports on evaluated candidates.
4. Manage the complete cycle of contracts for national and international affiliate workforce in GRMS, ensuring the collection and verification of required documentation and compliance with FAO’s rules and regulations.
5. Supervise the validity of contracts for national and international affiliate workforce in and take appropriate measures in coordination with supervisors for renewal or termination as necessary.
6. Provide administrative support, including staff recruitment, staff development and other HR related functions. Collaborate in implementing actions to promote a respectful and harmonious work environment, aligned with the organization's values and commitments.
7. Maintain confidentiality and handle sensitive information with discretion.
8. Perform other administrative tasks as required.

Living conditions
Initial contract is issued upon start of assignment for the period indicated above. The contract can be extended depending on continuation of mandate, availability of funding, operational necessity and satisfactory performance. However, there is no expectancy of renewal of the assignment.
UN Volunteer entitlements and allowances: The purpose of the allowances and entitlements paid to UN Volunteers is to enable UN Volunteers to sustain a secure standard of living in line with United Nations standards without incurring personal costs. The allowances are in no way to be understood as compensation, reward, or salary in exchange for the UN Volunteer’s service.

Monthly Living Allowance (Per month,apx): HUF 559,800*
Entry lump sum (one-time payment): USD 350
Exit allowance (for each month served, paid on completion of contract): apx. HUF 35000
Medical and life insurance: Cigna Private Insurance 100 %

Leave entitlements:
Annual leave: 2.5 days accrued per calendar month
Certified sick leave: UN Volunteers are entitled to up to 30 days of certified sick leave based on a 12-month cycle. This amount is reset every 12-month cycle.
Uncertified sick leave: 7 days for 12 months and 4 days for shorter assignments
Learning leave: 10 working days per consecutive 12 months (shorter assignments are prorated)
Maternity Leave: 16 weeks
Paternity Leave: 10 days
