The primary objective of this service is to support the ESCWA Technology Centre (ETC) in the planning, coordination and implementation of the Arab SMEs Summit (ASMES) 2026 and other ETC events and programmes. The assignment will contribute to the effective delivery of logistical, operational and administrative activities, including participant management, travel and accommodation arrangements, venue and exhibitor coordination, registration processes, visa facilitation, accessibility arrangements and on-site event support, ensuring the smooth and successful execution of ETC activities.

Duties and Responsibilities
Background The ESCWA Technology Centre (ETC) is preparing for the Arab SMEs Summit (ASMES) 2026, a flagship regional event that will bring together entrepreneurs, SMEs, policymakers, development partners, private sector representatives, innovation ecosystem actors and support organizations from across the Arab region. The Summit will serve as a platform for showcasing entrepreneurship, innovation, digital transformation initiatives, SME success stories and strategic partnerships. To support the successful delivery of ASMES 2026 and other ETC events and programmes, ETC seeks an Individual Contractor to provide logistical, operational and administrative support across all stages of event planning and implementation. The Contractor will support participant services, travel and accommodation arrangements, venue coordination, exhibitor management, registration processes, visa facilitation, accessibility arrangements and overall event operations to ensure the smooth and professional execution of ETC activities. The IC will work under the supervision of the Executive Director of The ESCWA Technology Centre (ETC). In particular, the Project Coordinator will be tasked to do the following: Tasks and Responsibilities 1. Coordinate logistical and operational arrangements for ASMES 2026 and other ETC events, workshops and meetings, including venue coordination, catering, audiovisual services, interpretation, signage and event materials. 2. Support participant management and registration processes, including invitations, confirmations, participant communications, registration tracking and distribution of event-related information and materials. 3. Coordinate the preparation and distribution of participant badges, maintaining accurate participant records and supporting the effective management of participant access during events. 4. Coordinate with the relevant teams handling travel, visas, local transportation, accommodation and other participant-related logistical arrangements, ensuring effective communication, coordination and follow-up with participants and service providers as required. 5. Provide administrative and coordination support for visa-related processes, including the collection, tracking and follow-up of required documentation and communications with participants and relevant stakeholders. 6. Support exhibitor, partner and stakeholder coordination activities, including booth allocation, exhibitor communications, setup requirements and operational support during events. 7. Facilitate accessibility and participant support arrangements, including coordination of reasonable accommodations and services to ensure inclusive participation of persons with disabilities and other attendees with specific requirements. 8. Provide on-site event coordination and general administrative support, including participant assistance, speaker and VIP coordination, troubleshooting logistical matters, maintaining event records and supporting post-event reporting and follow-up activities. The Individual Contractor will work under the supervision of the Acting Director of the ESCWA Technology Centre.
Qualifications/special skills
A Bachelor’s degree in Business Administration, Event Management, Hospitality Management, Marketing, Sales, Communications, Public Administration, Logistics, Project Management, or a related field relevant to event coordination, conference management, stakeholder engagement and administrative support is required. All candidates must submit a copy of the required educational degree. Incomplete applications will not be reviewed. A minimum of 5 years of practical experience encompassing project coordination, program administration, program management assistance, and other relevant fields closely associated with the role is required. Event Coordination, Logistics and Administrative Support: Demonstrated experience in supporting the planning and implementation of conferences, exhibitions, workshops and events, including participant coordination, registration management, travel and accommodation arrangements, venue liaison, exhibitor support and logistical operations. Strong organizational, communication and stakeholder coordination skills are required. Organizational Skills: The ability to efficiently manage tasks, time, and resources, ensuring clear project coordination and prioritization is requried. Attention to Details: Meticulously reviewing work to identify and correct errors or inconsistencies is desirable. Flexibility: Adaptability to changing tasks, roles, and responsibilities in dynamic work environments is desirable.
Languages
English and French are the working languages of the United Nations Secretariat; and Arabic is a working language of ESCWA. For this position, fluency in English and Arabic is required. Note: “Fluency” equals a rating of ‘fluent’ in all four areas (speak, read, write, and understand) and “Knowledge of” equals a rating of ‘confident’ in two of the four areas.

Recruitment for this position is on a local basis. The incumbent is required to have the legal right to live and work in the specified working location.
