Duties and Responsibilities
Org. Setting and Reporting This post is located in the Pass and ID Team, Security and Safety Services (SSS Vienna), Division for Management (DM), United Nations Office in Vienna (UNOV). The incumbent will be under the supervision of the Lieutenant, Pass and ID Team. The position supports the work of the Security and Safety Service. The internship is for six (6) months with a desired starting date in October 2026. The position will be UNPAID and full-time, i.e. five days (40 hours per week) under the Supervision of the Lieutenant. For information on the work of UNOV kindly visit www.unov.org Responsibilities Under the supervision of the Lieutenant, the Intern provides administrative and operational support to the Pass Office. The Intern will: - Assist in registering Legitimation Cards issued by the Austrian Ministry of Foreign Affairs in the internal Legitimation Card management system. - Support the preparation of photographs for staff members and eligible dependents in connection with Legitimation Cards, United Nations Laissez-Passer applications, and visa-related documentation. - Assist Pass Office personnel in the preparation and pre-printing of access cards for meetings, conferences, and special events. - Support the review of applications in the Legitimation Card system by verifying that submitted information corresponds with records maintained in internal databases. - Assist with the distribution of official documents, including Legitimation Cards, Meldebestätigungen, and Rückgabebestätigungen, while ensuring proper record-keeping procedures are followed. - Contribute to the updating and correction of personnel records based on information received through the Ground Pass Application process, helping to maintain data accuracy and consistency. - Support the monitoring and organization of Pass Office inventory, including maintaining accurate stock records and assisting with the management of office supplies. - Support the preparation and coordination of the quarterly newsletter, including compiling content and using Microsoft SharePoint, Canva, or similar platforms for layout and publication. - Perform other administrative and operational support tasks as required by the Pass Office.
Qualifications/special skills
• Applicants must meet one of the following requirements: (a) be enrolled in, or have recently completed, a graduate school programme (second university degree or equivalent, or higher); (b) be enrolled in, or have recently completed, the final academic year of a first university degree programme (minimum bachelor’s degree or equivalent). Applicants to the UN Internship Programme are not required to have professional work. experience. However, a field of study that is closely related to the type of internship that you are applying for is required. Applicants must be a student in the final year of the first university degree (bachelor or equivalent), Master’s or Ph.D. Programme or equivalent, or have completed a Bachelor’s, Master’s or PH.D. Programme. Do you meet any of the above criteria? If yes, please indicate which one and attach proof to the application. Applicants should have good knowledge of standard software applications, especially MS Word, MS Excel, MS PowerPoint, and MS Teams. Ability to do research in various topics is desirable
Languages
English and French are the working languages of the United Nations Secretariat. Fluency in spoken and written English is required for the internship. Knowledge of an additional official UN language is an advantage. Arabic, Chinese, English, French, Russian and Spanish are the official languages of the United Nations Secretariat.
